Data Deletion Instructions

This page explains how to ask PLAYBACK Sports Ltd (company number 15638660, registered office 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ) to delete personal data we hold about you. It covers the PLAYBACK platform, PLAYHUB, and any account you connected to them. For the wider picture of what we collect and why, see our Privacy Policy.
How to request deletion
Email admin@playbacksports.ai with the subject “Data deletion request”. So that we can find the right records and confirm the request is genuinely yours, please tell us:
- the email address, username, or connected account the data sits under;
- whether you want everything deleted, or only a specific item such as a single clip, a profile, or a linked social account;
- if you are a parent or guardian acting for a child, the child’s name and your relationship to them.
You do not need an account with us to make a request, and there is no charge.
Data connected from Facebook or Instagram
If you connected a Facebook Page or Instagram account so that PLAYBACK could publish on your behalf, there are two separate steps, and doing only the first will leave data with us.
- Revoke our access - in your Facebook settings, open the section listing apps and websites connected to your account, select the PLAYHUB entry, and remove it. This stops any further access immediately.
- Ask us to delete - revoking access does not by itself erase what we already stored, so email us as described above and we will delete the access tokens and any profile, Page, or account details we obtained through that connection.
What we delete
On a full deletion request we remove your account, your profile and any player or club details attached to it, your preferences, any access tokens for connected third-party accounts, and clips or highlights created for you. Where we are able to, we delete rather than deactivate.
What we may keep, and why
- Records we are required to hold - transaction and invoice records are kept for as long as UK tax and accounting law requires, even after an account is deleted.
- Aggregate figures - statistics that no longer identify anyone, such as counts of matches recorded, are not personal data and are not reversed.
- Backups - deleted records can persist in encrypted backups for a short period before those backups age out on their normal cycle.
Match footage
A recording of a match usually shows many people at once, so footage is handled request by request rather than by a single switch. Tell us which match or clip concerns you and we will remove or restrict it, which may mean deleting the clip, removing the tags and profile links that make a person findable in it, or taking the recording down entirely. Where footage belongs to a club or league account, we will act on the request and tell that account holder what changed.
Children
Much of what we record involves young players. A parent or guardian may request access, correction, or deletion of a child’s data at any time using the same email address, and we will not ask the child to make the request themselves.
How long it takes
We acknowledge requests within 5 working days and complete them within 30 days, which is the period UK GDPR allows. If a request is unusually complex and we need longer, we will tell you before the 30 days are up and explain why. We will confirm in writing once the deletion is done.
If you are not satisfied
Deletion is one of several rights you hold under UK GDPR, alongside access, correction, portability, and restriction. Those are set out in our Privacy Policy. If you are unhappy with how we handled a request you may complain to the Information Commissioner’s Office (ico.org.uk).
